Northland School Division is accepting applications for a Part-Time School Secretary for Career Pathways School. The grades 10-12 school is located in the community of Wabasca-Desmarais, Alberta. Wabasca-Desmarais is sheltered in the majestic North and South Wabasca Lakes. With a population of 3,300 split between Municipal District of Opportunity residents and Bigstone Cree Nation members, the area is rich with culture mixed with small-town leisurely charm. Major Responsibilities include:
- Makes appointments at the request of parents, community, staff and students with the Principal, where applicable.
- Acts as a receptionist to all visitors and answers the telephone.
- Liaises with School Food Services in providing count for lunches required.
- Assists the Principal with school opening and closing.
- Assumes responsibility for inventory control of school supplies; including stock-taking and requisitioning as required.
- Monitors all incoming and outgoing mail.
- Monitors use of and reporting on use of photocopiers.
- Types correspondence, memos, requisitions and forms as required.
- Files correspondence and forms.
- Handles all student transfers.
- Assists with records of student attendance.
- Duplicates school materials as required.
- Submits all Leave Application and Approval forms and Casual Timesheets as well as substitute pay forms using Atrieve. Atrieve is what Northland School Division uses for Human Resources, finance and payroll processes.
- Assists with/prepares month end reports as required.
- Mail pick up and drop off.
- Assists the health nurse with student lists for immunizations if required.
- Assists parents with student registration forms.
- Prepares School Bus Passenger Lists.
- Tracks school-generated funds.
- Maintaining student information using PowerSchool/PASI and DocuShare.
- Record Visa purchases, collect receipts and collate month-end reports.
- Liaise with various agencies, including Alberta Education, as required.
- Remind all new staff at the school to complete the payroll/personnel forms in a timely manner.
- Remind all new staff at the school to complete the RCMP Criminal Records Check in the required timelines.
- Coordinate school/bus cancellations and note changes.
- Call parents with any emergencies.
- Assists with fundraising activities, field trips and community meals and activities.
- Sends and receives all school faxes and emails.
- Does all the ordering of school materials.
- Prepares and receives all maintenance contracts for buildings and equipment.
- Other tasks as assigned from time to time.
Qualifications and Requirements include:
- The successful candidate will have a minimum of Grade 12 education or equivalent, with business-related subjects (Accounting background), and/or an Office Administration Certificate (or equivalent).
- Excellent computer skills would be an asset.
- Computer skills that navigate the digital realm with ease.
- Excellent interpersonal, communication, and time management skills—essential ingredients for success.
The starting salary range for this position (with Office Administration certificate) per annum is dependent upon qualifications. A comprehensive benefit package is provided.
